How it works

From sign-up to a receptionist who never misses a call.

Five simple steps, and most of the work is ours. When signup opens, one form tells us about your business as you sign up, and you approve one test call. We handle the building in between.

A quick example

Sam runs a plumbing shop in Fort Worth. He signs up on Monday morning, fills in one short form, and takes his test call that afternoon. By Tuesday, callers reach his receptionist instead of his voicemail, even when he is under a house.

Five steps, start to finish

Here is the full process at a glance. The details for each step are right below it.

Doors open soon, and the waitlist is open now. When signup opens: one form, then pay $44 to get started.

From your form and your website.

    Your test call

Hear it yourself, then approve it.

  4. 4

    Get your number

A new number, or forward your current one.

  5. 5

    It goes to work

Calls answered, summaries sent to you.

Step by step

What happens at each step

Every step lists the one thing you do. Most steps, you do nothing at all.

01

When doors open: one form, then pay

Pick your plan, then fill in the one signup form. It asks about your business: your services, your hours, how you want calls handled, and the name you want your assistant to use. It takes about five minutes, and it is the only form you will ever fill in with us. Short on time? Fill in what you can, and we will follow up for the rest. Sending the form takes you to our secure payment page with your email already filled in. When you sign up, you pay $44: the $29 setup fee (our new client promotion) plus $15 for your first month. After that it is $15 a month per number, and your number is included. No long-term contract, and you can cancel anytime.

You do: Answer in your own words, then pay. Plain answers are perfect.

02

We build your receptionist

We use your form and your website to build your receptionist: its greeting, the questions it asks callers, what it can answer, and when it should transfer a call straight to you. A real person here in the Dallas Fort Worth area reviews the build before it moves on.

You do: Nothing. This part is on us.

03

Take your test call

Your receptionist calls you, so you hear exactly what your customers will hear. Ask it the questions your customers ask. If the greeting, the voice, or an answer needs a tweak, tell us and we adjust it. Nothing goes live until you say it sounds right.

You do: Pick up the test call. Tell us what to change, or give the thumbs up.

04

Get your number

Two choices. Use the new local number we set up for you as your business number, on your truck, your cards, and your website. Or keep the number your customers already know and forward it to your Ringception number. Forwarding is a quick setting on your current line. We send simple steps, and we will walk you through it if you want a hand.

You do: Pick the new number, or forward your current one.

05

Your receptionist goes to work

From then on, your calls get answered day and night. Your receptionist greets callers with your business name, answers common questions, takes messages, and sends you a summary by text and email after every call. Urgent calls transfer straight to your cell. If you added Follow-Up Campaigns, it also follows up with callers and customers by text and email, using wording you approved first.

One timing note if you added campaigns: texting switches on after a required carrier registration, which can take a few hours. Your calls are answered from day one.

You do: Read your summaries and run your business.

Your portal

Signing in to your portal, no password needed

Your portal is where you see your calls, your summaries, and your credit balance. It has no password at all. There is nothing to remember, and nothing to forget.

  • Lost the email, or it is old? No problem. Go back to the portal, type your email again, and we send a fresh link. It takes seconds. Links are good for 15 minutes, so a fresh one always works.
  • You stay signed in for 30 days on your own phone or computer, so most days you will not need a link at all.
  • It is safe without a password. Only someone who can open your email can get a sign-in link, and every link works one time only.

Example: You are on a job and want to check a call summary. Open the portal on your phone, type your email, tap the link in the email we just sent, and you are looking at the summary. About 20 seconds, start to finish.

No surprises

What it costs as you go

Your $15 a month per number keeps the service on, and your number is included. Usage comes out of prepaid credit in your account wallet: calls cost 17 cents a minute, billed per second so short calls stay cheap, and texts with your customers cost 5 cents each, sent or received. Messages between you and your receptionist are included: the first 150 a month are on us, then 5 cents each. You add credit up front, watch it any time in your portal, and top up when it runs low. A slow month means small usage. There is never a surprise talk-time bill.

Ready when you are

Hear it, approve it, then it is on the phones.

Ringception is opening soon, and the waitlist is open now. When signup opens, setup starts with the same $44 described above, and your receptionist does not talk to a single customer until you approve the test call.
